Hotel group: 180 employees trained on AI in 2 months
How we delivered structured AI training to a European hotel group via the H2H platform, with measurable per-participant progress.
The problem
A European hotel group with 12 properties had a problem: reception, concierge, and marketing teams were already using ChatGPT with personal accounts - no oversight, no quality control, no GDPR alignment.
Management knew AI was already being used, they just didn't know how. They wanted to offer a structured alternative before an incident surfaced.
The goal
- Train 180 employees (reception, concierge, marketing, operations) on responsible AI use
- Establish an internal policy and tools to replace shadow IT
- Collect measurable data on time actually saved
The approach
Over eight weeks:
-
Weeks 1–2: Setup - provisioning the H2H platform with dedicated license keys, per-team token budgets, and hospitality-specific templates (guest emails, menu translations, review replies).
-
Weeks 3–6: Team workshops - one-day workshops for each team. Every employee got their own account with 1M PD tokens for practice. The instructor tracked progress live.
-
Weeks 7–8: Follow-up and measurement - shorter advanced modules (prompt engineering, marketing automation), documentation, and a final report.
Results
- 94% of participants used the platform at least three times after their workshop
- ~28 minutes average time saved per employee per day (self-reported)
- Zero personal ChatGPT accounts flagged by HR after one month
- Internal usage policy signed off by executive team
- All data stays within the EU (Azure OpenAI West Europe)
What worked best
- Role-specific templates. People who write review responses got templates for that, not generic AI prompts.
- Realtime monitoring. The instructor saw who was stuck and helped live.
- Ongoing access. Employees kept platform access after the workshop, so learning didn't stop.
